Administrative Assistant/Secretary

The Delegation of the European Commission to Afghanistan administrates an annual development budget of approximately €200 million. Aside from its direct financial support of Afghan government institutions, the Commission is currently funding: Aid to Uprooted People; Customs Reform; Elections; Food Security; Basic Health Service; Infrastructure; Justice & Home Affairs; Public Administration Capacity Building; Media; Rural Development; and Social Protection programmes. Duties & Responsibilities:


1. Maintaining financial and administrative records for the Administration including staff records and related documentation.

2. Maintaining accounting records and assisting with the financial and administrative work of the Delegation.

3. Providing secretarial and administrative support to the Administrative Assistant (European national) and the Head of Administration.

4. Organizing meetings and arranging appointments.

5. Doing minor translation.

6. Drafting of routine correspondence.

7. Typing of correspondence.

8. Keeping the archives of the Administration in good order.

9. Performing other duties requested by the Head of Section and/or Head of Delegation.






Qualifications required:


EDUCATION & TRAINING:
University degree and a secretarial qualification.

KNOWLEDGE & EXPERIENCE:
2 years of minimum working experience after graduation.

Language Skills:
1. Proficiency in English and Dari/Pashto (written and spoken).

2. Knowledge of another European language would be an advantage.

Secretarial Skills:
1. He/she will have relevant secretarial and administrative experience and be able to draft quickly and precisely.

2. Flexibility and attention to detail are important.

Interpersonal Skills:
1. Ability to listen, to consult and to share information and ideas.

2. Ability to work independently, whilst having team work skills.

Management and Organizational skills:
Capacity to focus on priorities and to organize work to deliver on time.
